Instructions for Speakers, Poster Presenters and Attendees

 

Welcome to all of our Aging Investigators – we look forward to seeing you all whether in person or virtually.  As the meeting approaches it is now time to upload the meeting content. We have a small window here and it is important to attend to this task as soon as you get the chance.

IMPORTANT: All videos must be uploaded no later than July 15. We must test each video to ensure that all participants (both virtual and in-person) have a flawless experience. This takes time. We greatly appreciate your compliance with this deadline.

ALL presentations (virtual talks, live talks, poster videos) will be viewed through the Whova meeting app and will be available only to registered attendees.  Access for registered attendees will be available for 6 months after the meeting.

Instructions:

Virtual Speaker:

ALL speakers not attending in person must pre-record their talk. No exceptions.

Here's how:

For example:
30 minute presentation time = 25 minute talk & 5 minute questions/answers in Whova chat
20 minute presentation time = 15 minute talk & 5 minute questions/answers in Whova chat
15 minute presentation time = 10 minute talk & 5 minute questions/answers in Whova chat

  • Export your talk as a MP4 file.
  • Upload your MP4 file to your YouTube account.
  • Copy/paste the YouTube link to your speaker profile in Whova.
  • A link to your speaker profile was sent to you by email. Email us ([email protected]) if you have not received the link.

In-Person Speaker:

Here's how:

  • Load your slides to the computer provided in the Meeting room at least 4 hours prior to your session.
  • Do not switch laptops.
  • Put your slides in the appropriate folder on desktop.
  • PC only.
  • Speakers should make themselves known to the Chair of the session and be available for any troubleshooting 30 minutes prior to their session.

For example:

  • Your talk will be live streamed through the Whova app and you may get questions from the virtual attendees.
  • Your talk will be recorded and uploaded to the app for those who missed the live presentation but these recordings will be available only to those registered for the meeting.

Poster Teasers

  • Poster Teasers are by invitation only. If you did not receive an email asking you to submit a poster teaser, you can ignore this section.
  • ALL Poster Teasers must pre-record their two (2) minute talk. No exceptions.
  • 1-2 slides
  • 2 minute talk promoting your poster

  • Record yourself in Zoom with both you and your slides on the screen.
  • Export your talk as a MP4 file.
  • Upload your MP4 file to your YouTube account.
  • Copy/paste the YouTube link to your speaker profile in Whova.

Poster Presenter:

ALL posters will be Virtual presentations, including posters for those attending in-person.

Here's how:

  • Record yourself in Zoom with both you and your slides on the screen.
  • Your video presentation of your poster should be 2-3 minutes maximum.
  • Export your presentation as a MP4 file.
  • Upload your MP4 file to your YouTube account.
  • Copy/paste the YouTube link to your poster profile in Whova.
  • A link to your poster profile was sent to you by email. Email us ([email protected]) if you have not received the link.
  • Upload a cover photo for your Poster (recommended dimensions: 1000px by 600px)

In-Person Poster Presenter

ALL posters will be Virtual presentations, including posters for those attending in-person.
Attending in-person you will also have the opportunity to present in person.

Here's how:

  • Print your poster to fit the provided boards
  • Poster board size: 90 inches x 40 inches in horizontal format
  • Your poster may be any size as long as it fits on the board (smaller than 90" x 40")
  • Hang poster with push pins (provided).
  • Poster board assignments will be given on site. Pick up your assignment with the push pins at the registration desk.
  • Hang your poster on Tuesday between sessions and leave it up for the duration of the meeting. This will allow attendees to view your poster at their convenience.
  • On Thursday, July 22, 6:30 - 8:00 PM be present at your poster to answer questions.
